Privacy policy
How Rentroll Ltd collects, uses and protects the personal information of visitors, prospective investors and investors who contact us through this website.
Example text for the Rentroll template, written for a demo residential property fund. It is a starting point, not legal or regulatory advice: fund marketing is regulated, so have every page reviewed by a qualified lawyer and your compliance officer for your fund, your regulator and the countries where you market it before you publish.
1. Who we are
This website is operated by Rentroll Ltd (“we”, “us”), the manager of the Rentroll residential property fund. This policy explains what personal information we handle when you visit the site, fill in a form or write to us, and the choices you have.
If you have a question about this policy, write to us through the contact page. We answer privacy requests within 30 days.
2. Information we collect
Information you give us: your name, email address, country of residence, the amount you are considering investing and the content of your message when you fill in a form. Only the fields marked as required are needed to answer you.
Information collected automatically: when you browse the site, our hosting provider records technical data such as your IP address, browser type, pages visited and the date and time of the visit, to keep the site secure and working.
This website does not collect identity documents, bank details or tax numbers. If you decide to invest, identity checks and subscriptions are handled through our regulated subscription partner, under its own privacy notice, which you will see before you share anything with it.
3. How we use it
To answer your questions and send you the fund documents you asked for.
To keep you informed about the fund if you asked us to, for example with our quarterly investor letters. You can unsubscribe at any time from the link in each email.
To run, secure and improve the website, and to meet our legal and regulatory obligations, such as record-keeping and responding to lawful requests from authorities.
We do not sell your personal information, and we do not use it for automated decisions that have a legal effect on you.
4. Legal bases
Where the law requires a legal basis, we rely on your consent (newsletter), on steps taken at your request before an investment (answering your questions), on our legal obligations (record-keeping, anti-money-laundering rules applied by our partner) and on our legitimate interest in running and securing the site.
5. Cookies and analytics
The site uses a small number of cookies and similar technologies. The Cookie Policy lists them and explains how to control them.
We only use cookies that are needed for the site to work and privacy-friendly analytics that do not identify you, so the site does not ask for consent through a banner.
6. Who we share it with
Service providers that help us run the site and answer you, such as our website host, form and email providers. They process your information on our instructions and are bound by confidentiality and security obligations.
Our subscription partner, only if you ask us to introduce you to it to make an investment.
Auditors, the fund’s depositary, regulators or other authorities when the law requires it, or to protect our rights, our investors or the public.
7. How long we keep it
Messages and form submissions from people who do not invest are kept for as long as needed to answer you, and no longer than 24 months after our last exchange.
Records linked to an investment are kept for the period required by financial regulation, which can be several years after you sell your shares.
Technical logs are kept for a short period, usually less than 90 days, for security purposes.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict some uses, and to withdraw a consent you gave. Some records must be kept by law even if you ask us to delete them.
To make a request, write to us through the contact page. We may ask you to confirm your identity before we act on it. You also have the right to complain to your data protection authority.
9. Security and international transfers
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Our providers may process information outside the country where it was collected. When that happens, we rely on the safeguards required by applicable law, such as standard contractual clauses.
10. Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it was last changed. If a change is significant, we will make it clear on the site.
